Job Description

What you'll do:
- Provide a full range of secretarial and administrative support to Council members, including but not limited to assistance with the logistics arrangement of business activities, report preparation, expense reporting, email management, and calendar coordination
- Provide secretarial and administrative support to the Council Secretariat, including but not limited to logistics planning and arrangement, internal vetting, safety management, record-keeping, and reporting of official visits to relevant stakeholders
- Assist in scheduling and organizing appointments, meetings, and functions with the appropriate priority, and support ad hoc projects and assignments as required
- Prepare correspondence, agendas, minutes, and other materials for meetings, and undertake necessary follow-up actions
- Follow up on business-related activities for Council members with the relevant parties and ensure necessary coordination is carried out
- Maintain and manage up-to-date contact and correspondence details of former Chairmen and Council members to ensure effective communication and record-keeping, both internally and externally
- Maintain the filing room of the Council Secretariat, including updating and managing the filing index to ensure efficient document retrieval
You'll be a good fit if you have/are:
- Degree in Business Administration or related disciplines or equivalent
- Three years or more solid experience in secretarial and administrative duties
- Substantial experience in supporting management executives and division operations preferred
- Strong sense of accountability and sensitivity to confidentiality of information and office matters, Proficiency in MS office
- Good planning and organization skills, and able to work under pressure
- Good command of both spoken and written English and Chinese

A competitive salary package commensurate with academic qualifications and experience will be offered. The successful candidate will be employed on a fixed-term contract basis, which is renewable subject to appointee’s performance and the Council’s development needs.
